Terms and Conditions of Hire
Definitions
In this document the following words shall have the following meanings:
1.1 - Owner means NorthStar Audio Visual Limited
1.2 - Hirer means the company or person who hires the Equipment from the owner.
1.3 - Equipment means anything that the owner agrees to rent to the hirer as detailed on the order confirmation and delivery note signed by The Hirer.
1.4 - Site means the premises or site specified by the hirer where the Equipment is to be used.
Contract
The acceptance of equipment received by the hirer hire will constitute a contract and acceptance of the terms and conditions contained herein. A copy of these terms and conditions will be included in PDF format with the email booking confirmation. A written copy is available on request.
Period of hire
The period of hire is understood to mean the period from when the equipment is delivered to when it is collected by the owner.
Booking deposit and payment of balance
A non-refundable deposit of 25% of the total agreed hire charge (including delivery and VAT) will be paid to the owner by the hirer at time of booking. The balance of 75% will be due any time up until 30 days prior to date of the event.
Security deposit
A security deposit will be required prior to the equipment being delivered to the agreed site. This will be taken in the form of a deferred payment on a credit or debit card. The amount will relate to the actual equipment being hired and will be advised at time of booking. The deferred payment will be cancelled by the owner on collection of the equipment in acceptable condition at agreed time. Please note the deferred amount will be 'held' in the hirers credit or debit card account and in some cases these funds can be unavailable for up to 5 working days.
Delivery and collection
Prices quoted on the website exclude delivery and setup of equipment. You can view delivery rates here.
Delivery and collection times will be agreed at time of booking. The hirer must be present and all equipment must be available and accessible at the site at these agreed times. Extra hire and delivery / collection charges will apply for increased hire duration or extra visits required for the owner to deliver or collect the equipment. These charges will automatically be deducted from the security deposit. In cases where costs exceed this amount the owner will invoice the hirer accordingly. If the hirer is unable to be present or the equipment will not be available at the agreed time they should contact the owner as soon as possible.
Identification in the form of a driving license or passport must be presented by the hirer on delivery.
Loss or damage
Goods at all times remain the property of NorthStar Audio Visual Limited. The hirer is wholly responsible for all equipment on hire from the time of delivery until collection. They will be responsible for the safe custody of the company's property on the site and will make good to the company all loss or damage to the company's property or equipment hired or used on the site (other than fair wear and tear) including breakages, damage and loss due to theft or burglary, unless it be proved that such loss or damage be caused by faulty material or workmanship or negligence on the part of the owner. Any repair or replacement costs will be deducted from the hirers security deposit. In cases where costs exceed this amount the owner will invoice the hirer accordingly.
Liability to third parties
The owner will not be responsible for, and the hirer will indemnify the company against all claims for injury to persons or loss of or damage to property howsoever caused unless it is proved that such injury or damage be caused by faulty material or workmanship or negligence on the part of the company.
Attendance
The hire charges do not include attendance by the company's staff unless previously arranged (additional charges apply for attendance).
Permits
The hirer is responsible for giving notice to or obtaining all necessary permits from any authorities who are or may be concerned and must make application where to the planning authority, district surveyor, police, fire service, and any similar authority or organisation.
Force Majeure
While every effort will be made by the company to carry out any order accepted, the full performance of it is subject to variation or cancellation by the company consequent upon act of God, war, strikes, riots, lock-outs or other labour disturbances, fire, flood, restrictions of the use of transport, fuel or power, requisitioning, shortage of material or transport or labour or any other cause beyond the control of the company. In the case of extreme bad weather the company reserves the right to cancel the contract if the weather would cause damage to the equipment outside or prove a health & safety risk to persons working, in which case any costs already paid by the hirer to the owner will be refunded.
Cancellation or premature termination of contract
In the event of the hirer cancelling the contract after a firm order has been placed, charges will be levied as follows:
Electrical supply
All of our equipment requires standard 240V mains power to operate. The hirer is responsible for ensuring that the venue has sufficient power supply, plug points, connectors etc for the sound & lighting equipment hired as well as any other requirements they may have.

- Less than 30 days notice - 100% total hire charge
